Freelance Invoice Template

Freelance invoices fail in predictable ways: vague descriptions, no due date, no late policy, and deposits never invoiced at all. This template fixes those. Use it with the free generator - save your business details once and every future invoice takes seconds.

The freelance line-item structure

• Deposits: bill 30-50% upfront as its own invoice line ("Project deposit - 40%"). Never start work unbilled.
• Milestones: one line per deliverable with its own price, not one big "project" line. Milestones get approved faster and cap dispute damage.
• Expenses: list pass-through costs (stock assets, hosting, travel) as separate lines with receipts attached to your email.
• Revisions beyond scope: price them as their own line when they happen, with a reference to the original agreement.

Terms every freelancer should include

• Net 14 (or net 7 for small invoices). Net 30 trains clients to pay slowly.
• A late fee: 1.5%/month is standard and enforceable in most places if stated up front.
• "Work product transfers on full payment" - your leverage if a client goes quiet.

Tax note for US freelancers

Most states do not require sales tax on services, but some do (and digital goods complicate it). If you are unsure, check your state's department of revenue - charging tax you should not, or skipping tax you owe, both cost money.
